Cancellation and Refund Policy — Mehmet Zileli Advanced Spine Course 2026

1. Who you contract with

Registration and payment for the Mehmet Zileli Advanced Spine Course 2026 ("the Course", 12–13 December 2026, Hilton Samarkand Regency, Samarkand, Uzbekistan) are contracted with BVS Doctors Ltd, registered in England and Wales (company no. 16987192), 71-75 Shelton Street, London WC2H 9JQ, United Kingdom. Payments are processed by Stripe. Fees are charged in US dollars (USD).

2. When your registration is confirmed

Your place is confirmed when payment is received. If you chose to pay later by bank transfer, your place is confirmed when the transfer reaches us.

3. The Course takes place on fixed dates — no statutory cooling-off period

The Course is a service provided on specific dates. Where consumer law gives a 14-day right of withdrawal for distance contracts, that right does not apply to services related to leisure activities with a specific date of performance. This policy therefore sets out your cancellation rights instead. Mandatory consumer rights that apply to you under the law of the country where you live are not affected.

4. If you cancel

Send your cancellation by e-mail to registration@mehmetzileli-spine.org with your registration code. The date we receive your e-mail counts.

The processing charge is deducted once per registration.

5. Transferring your place

You may transfer your registration to a colleague free of charge until 10 December 2026 by e-mailing the new participant's name and e-mail address. A new invitation letter, if needed, is issued in the new participant's name; the previous letter is no longer valid.

6. Visa refusal

If your visa for Uzbekistan is refused, send us the official refusal by 5 December 2026. If you register after 5 December 2026, send it within 3 days of your registration and before the Course begins (12 December 2026). We refund the full fee, including add-ons, less the processing charge of USD 10. Your invitation letter is cancelled when the refund is made.

The invitation letter supports your visa application; it does not guarantee that a visa will be issued.

7. Add-ons (e.g. Half-Day CCJ Hands-on Course)

Until 30 November 2026, add-ons are refunded on the same terms as your registration (section 4). From 1 December 2026 they are non-refundable, because seats are limited. If we cancel an add-on, its fee is refunded in full.

8. Group registrations

A group registration (2–20 participants, one payment, one invoice) is refunded to the payer who made the group payment. The payer may cancel or transfer individual places under sections 4 and 5; refunds for individual places are made as a partial refund of the group payment.

9. If we cancel, postpone or move the Course online

• Cancellation by us: you receive a full refund of all fees paid, including add-ons, with no processing charge.
• Postponement: your registration is moved to the new dates. If you cannot attend them, you may ask for a full refund within 30 days of our announcement.
• Moving online: you choose either online participation or a full refund. Please tell us your choice within 14 days of our announcement; if we do not hear from you, your registration stays valid for online participation.
• Changes to the programme or speakers that do not change the nature of the Course do not give a right to a refund.

10. Events beyond our control

If the Course cannot take place because of events beyond reasonable control (for example war, unrest, epidemic, government restrictions, natural disaster or closure of the venue), section 9 applies. We are not responsible for travel, accommodation or visa costs you have paid to third parties; we recommend travel insurance.

11. How and when refunds are paid

• Refunds are paid within 14 days of our confirmation, to the card used for payment (Stripe) or, for bank transfers, to the account you give us.
• Refunds are made in USD, the currency charged. We are not responsible for differences caused by exchange rates or by fees of your bank or card issuer.
• Stripe does not return its processing fees on refunds; the processing charge in sections 4 and 6 covers this cost.

13. Registrations paid before this policy was published

If you paid for your registration before 30 October 2026, only those provisions of this policy that are more favourable to you apply to your registration.
